What I do

  1. I walk through your current process with you and list what can be automated.
  2. I build Power Query queries that load files from a folder, standardise formats and combine the data.
  3. Where more is needed — splitting reports, exporting to PDF, sending files — I write VBA macros.
  4. For large datasets or databases I use R scripts or SQL queries.
  5. I add a control sheet that compares totals and row counts with the source files.
  6. I test the solution on data from at least two periods before handing it over.

How I approach it

I start from your process, not from a tool. If a single Power Query query is enough, I won’t build an elaborate system of macros. The automation should keep working when the number of files changes or a new branch is added — so the queries read the whole folder rather than specific file names. Every step is documented in the guide, so the solution doesn’t depend on me. For the first refresh on your data I’m available, and together we check that the numbers match your existing report.

Monthly report from branch files

Problem
Every month 8 branches send files in different formats, and the report is assembled by hand.
Data
8 CSV files, 5,547 rows with typical errors: duplicates, missing amounts, mixed date and number formats. The same approach works with .xlsx files.
Work
A Power Query query reads the whole folder, standardises formats and removes duplicates. A control sheet reconciles totals with each file, and a VBA macro saves each branch’s report as PDF.
Result
5,425 valid rows in one table, 58 duplicates removed, 272 entries standardised, 64 records listed for follow-up. Control totals match for 8 of 8 branches.

What I need for a quote

Questions

Will it work in every Excel version?

We agree the Excel version at the start. Power Query is built into Excel for Windows from version 2016 and into Microsoft 365. VBA macros don’t run in Excel for the web, so if your team works online, I choose a solution without macros.

What happens when the source files change?

Small changes, such as a new branch or another month, are handled automatically. If the column structure changes, a fix usually takes a few minutes — the guide shows where to make it, and during the 30 days of support I do it for you.

Can I just ask you to fix an existing macro?

Yes. I often start by reviewing an existing file: I document how it works, fix the errors and simplify the code. It’s a good way to try working together before a larger project.

Who owns the code?

Once the order is paid, the economic copyrights to the code and files pass to you. The terms of the handover are written into the order.

What happens after the 30 days of support?

After the 30 days I quote small fixes separately, always before starting, or we agree ongoing support. The documentation also lets someone else take the solution over.

How do we work together, and how does billing work?

You describe the problem in a few sentences. Within 1 business day I reply with questions or a proposal, then send a free quote with the scope, timeline and price. I bill through Useme, a Polish freelance platform: you get a VAT invoice, and your payment can be held by Useme until you accept the work. An NDA is available on request.
